TBCL Soccer Volunteer Positions

Sports Director
- Is responsible for working with other volunteers and the Program Manager to plan, organize and oversee all aspects of the indoor and outdoor soccer season
- Officially represents the program to the community and attends regular and special meetings of Twin Brooks Community League
- Sets TBCL policy and deals with issues as they arise
- Assumes other roles as needed -sits on KICKS Board
Equipment Director
- Identifies equipment requirements and procures new and replacement equipment
- Arranges for off-season equipment storage
- Organizes the distribution and return of equipment from coaches
- Works with Purchaser, Treasurer and Age Group Equipment Coordinators
- Assumes the role of equipment purchaser and Age Group Equipment Coordinators if those roles are vacant
- Time Commitment : The time commitment for this position is greatest before each season begins when equipment must be ordered, organized and distributed to coaches. After each season ends, arrangements must be made for all equipment to be returned, cleaned and stored for the next season.
Age Group Equipment Coordinator
- Works with Equipment Director, Age Group Coordinators and coaches
- Before the season starts, organizes and coordinates the distribution of equipment to teams in the respective age group
- At the end of the season, organizes the return, cleaning and storage of equipment
- Keeps track of returned and unreturned equipment for the respective age group
- Time Commitment: age group equipment coordinators may volunteer for a single season or may choose to volunteer year round. Most of the work happens at the beginning and end of each season.
Equipment volunteers - Pre-Season
- Work with Equipment Director and Age Group Equipment Coordinators
- Clean out storage areas, move jerseys and equipment from temporary to permanent storage areas, dispose of obsolete jerseys and equipment
- Prepare equipment bags prior to distribution to coaches
- Hand out bags to coaches and keep distribution records
- Time commitment- commitment is limited to one three to four hour shift prior to the start of the season. Equipment organization and distribution is performed in September-October for the indoor season, and March-April for the outdoor season.
Equipment volunteers - Post–Season
- Work with Equipment Director and Age Group Equipment Coordinators
- Clean out storage areas, move jerseys and equipment from temporary to permanent storage areas, dispose of obsolete jerseys and equipment
- Receive and record returned equipment bags and equipment
- Clean and inventory returned equipment bags and equipment
- Store equipment appropriately
- Time commitment: commitment is limited to one three to four hour shift at the end of each season. Equipment return is perforned in July-September for the outdoor season, and February-March for the indoor season.
Age Group Coordinators
- Creates teams
- Ensures that, as much as possible, all teams have a coach and an equal number of team volunteers
- Creates game schedule for age group and distributes to coaches
- Liases with Photo Coordinator, Tournament Coordinators, Purchaser, Security Clearance Coordinator and Equipment Coordinators, etc
- Handles inquires from parents and coaches
- Brings concerns and issues to Sports Director
- Time commitment: teams are put together in March-April for the outdoor season.
SWEMSA Rep
- represent the interests of TBCL at all SWEMSA meetings
- vote at SWEMSA meetings in accordance with the wishes of the TBCL Board
- Time Commitment: SWEMSA hold approximately six meetings a year
Treasurer
- Works with purchasers, Director and the TBCL
- Creates and presents indoor and outdoor seasons budgets to TBCL
- Accounts for all receipts and expenditures of Soccer
- Reconciles actual expenses and revenues with budget and presents Annual Report
- Time Commitment: The fiscal year end is August 31. An indoor season budget is prepared in September, and an outdoor season budget it prepared in February. The budget for the outdoor season is reconciled in September . The budget for the indoor season is reconciled in April.
Communications Coordinator
- Works with the Director to create articles and announcements to be published
- Articles typically published include announcements for upcoming events such as registration, tournaments, season starts etc.
Tournament Coordinator
- TB Soccer as a member of KICKs helps organize a soccer tournament Father’s Day Weekend for kids Mini Mites to U10
- Tournament coordinator is responsible for planning and organizing the tournament (s) and volunteers with other Communities
- Works with age group coordinators and tournament volunteers
Tournament Volunteers
- Help with miscellaneous duties during the Father’s day tournament. The tournament is 1 day , the shifts are 2 hours long. Purchaser Number required.
- Works with Equipment Director to order jerseys and other equipment

Time Commitment: Outdoor season - jerseys are ordered in February, other equipment is ordered as required.
Coaching Development Coordinator
- Sends out notices of coaches clinics to all coaches
- Encourages and promotes coaching development
- Arranges for registration of coaches
- Arranges for reimbursement of payment to coaches
- Time commitment: Outdoor season coach’s clinics are typically held in April and May
Registration Volunteers - Event Volunteers
- Attend TBCL Registration event
- Assist registrants with filling in forms
- Accept completed forms and cheques
- Time Commitment: the time commitment for this role is confined to one two to three hour shift
Registration Volunteers - Volunteer Data Entry
- Number required: one to three
- Inputs volunteer information into Registration database
- Time commitment: this is a one time commitment of a few hours following the registration event Registration Volunteers
Community League Membership Data Entry
- Number required: one to three
- Inputs community league membership number into Registration database
- Time commitment: this is a one time commitment of a few hours following the registration event
Volunteer Coordinator
- Number required: one
- Maintains record of which volunteers have and have not fulfilled their volunteer commitments
- Time commitment: This role is most active during the outdoor season from May to September Security Clearance Volunteer Number required.
- Works with Age Group Coordinators and Program Manager
- Maintains lists of coaches that require a security clearance
- Becomes familiar with security clearance policies and procedures
- Arranges for security clearances to be collected from all coaches requiring them
- Submits clearance forms to Program Manager
- Ensures that each application is supported by appropriate identification
- Records results of clearance checks and resolves not cleared ones.
Coach, Assistant Coach and Co-Coach
- Number required: one to three per team
- Establishes lines of communication with players, parents and team volunteers
- Coaches games following the Rules and Code of Conduct of TBCL, SWEMSA and EMSA
- Organizes and runs regular practices
- Attends orientation session and coaches clinics as required
Team Manager
- Number required: one per team, or 1 -3 for U12 division
- Works with coaches
- Phones players as needed
- Sets up snack schedule for outdoor season
- Any other duties as required Net Set up volunteer (outdoor season only)
- Maintains nets and flags
- Brings nets and flags to game and sets them up
- Takes nets and flags down at end of game
Miscellaneous Volunteers
- people who can give a couple of hours to help with different community events . Example: September Community Barbeque or Winter Sleigh Rides
Photo/Medals Coordinator
- organizes a photographer to take the Community Soccer pictures. This usually happens in May.
- order medals to be given out at the end of the outdoor soccer season
Photo Assistants per Age Division
- Number required: 4 per age group
- helps the coordinator on picture day -distributes pictures to each team when they arrive
